Task

Tasks are an essential part of the ecosystem of businesses, schools, teams, families, organizations and more. Rake tasks are integrated with chats and messages and this allows Rake users to easily attach a task to a customer chat, assign the task to a User in the Rake workspace and set a due date and time. The post includes four videos and the corresponding transcript to help you understand everything about the Rake task system.

Today, let's talk about tasks. Our task tool will allow you to have a more productive and more effective engagements tasks can be used when you're engaging with your customer in a chat, or they could be used in our tasks tab. First, let's simulate how to create a task when you're chatting with a customer as the check, come in, make sure to click go and be sure to click start. So let's be sure to add the customer's contact info. The name is Roger Denison and his phone number is available here. So let's click and save this information. Okay.

After saving the customer's information, let's add a task, click, add task, enter in a task name, and then a Santa task type task types can be created in the workspace editor. But for now let's use our tasks that I have previously created selecting vaccinations, and I can create task types to automatically assign to a user. In this case, my vaccinations task type is automatically assigned to Nobel rake, click save, and the task has been assigned. Let's create a task in the tasks tab. So here with our hamburger menu, open this up and go to tasks here. We could take a look at all the tasks in our workspace so we can view unclaimed tasks. These are tasks that have not been assigned to a user. We have assigned tasks that are assigned to users, and that could be viewed here.

And we have working tasks here that are currently in progress. So this client here that we just created a task for, I will assign to working, and you can simply update this by clicking this action button. So now the task has been updated to working. You can open up the task and add additional information. You can add notes, upload any files. So here, maybe I have a report to add, and I can also view the conversation that took place once the vaccinations are over, or the task is completed, can click update and using this timeline select closed.

That means the task has been completed and the task gets moved to the closed section. Let's talk about how you can create task types, workspace, administrators, and workspace owners can create task types. So opening up our hamburger menu. Again, you can go to workspace editor and then go to task types. These are the current task types that I have currently built for my workspace, but I can create more so to create more click add task type and then name the task. So maybe this is for a salon. I can select an icon to associate the task. I can auto assign it to a channel or a user. In this case, I'd like to create this for the salon channel. So anyone that is in that pet salon channel will get notified of a task and then click save to create a task outside of a customer conversation. You can go to the tasks tab and click add task. Maybe our recent client would like to add some grooving services. So I can search for the recent client here, famous Roger, and assign it to the task like the task type salon visit. And it would be assigned to the pet salon channel, add any relevant information and then click save. And the new task gets assigned here.

Let's talk about how you can create task types, workspace, administrators, and workspace owners can create task types. So opening up our hamburger menu again, you can go to workspace editor and then go to task types. These are the current test types that I have currently built for my workspace, but I can create more so to create more click add task type and then name the task. So maybe this is for a salon. I can select an icon to associate the task. I can auto assign it to a channel or user. In this case, I'd like to create this for the salon channel. My tasks. Anytime that I log in to rake, I want to make sure that I have all of my tasks completed. So a place to check on your tasks would be on the dashboard, on the dashboard. We could see our tasks that have been assigned on the dashboard. You could see the tasks that have been assigned to me. So I have an x-ray a way in and a vaccination. I can give myself more tasks or create tasks for other rake users here by clicking add task. I can also view my tasks by going down to the tasks tab

And selecting my tasks.

Here I can see the same tasks that have been assigned to me and assign them to working or closed once completed.

How to manage tasks that have been assigned to other users, or that are unclaimed to view these tasks.

Click all tasks. Here we can check on all the tasks that have been created, including your own tasks. So here we see that we have a task that has been claimed and has been due for quite some time. So let's assign this to a user let's choose Nobel rake. Now this task has been aside. I can also take a look at tasks that are working, that are overdue. I can leave a note or add details and once saved the user that has been assigned to will get notified of an update to the task.
